Position Description: The American Academy of Pediatrics, the nation’s leading advocacy organization for children’s healthcare, seeks a detail- oriented Program Coordinator to work in a fast paced environment. This position will coordinate the day-to-day implementation of the Pediatric Environmental Health Specialty Units (PEHSU) program activities, including administering surveys, compiling reports, tracking expenses, disseminating key information, facilitating information sharing via e-newsletters and social media, assisting with Project ECHO requirements, coordinating education and communication efforts, organizing calls and meetings, and developing and updating content for websites and e-newsletters.

Some duties include: • Plan and coordinate program meetings and conference calls, including developing and disseminating agendas, presentation materials, and meeting invitations; developing and maintaining participant rosters/information; and coordinating hotel, catering, a/v, and transportation arrangements. Process meeting-related expense reports. • Attend and participate in meetings and/or conference calls, draft minutes and assist in coordinating meeting discussion follow up, as necessary. • Administer the sub-contractual agreements and financial reporting for sub-contracted awardees. • Coordinate the AAP Project ECHO Pediatric Environmental Health, including development, coordination and implementation of program activities and materials (eg, resource manual, training tools, sample project protocols) as well as promotional materials (eg, newsletter and email distribution lists, articles, flyers, and brochures). Assist with regional involvement, site recruitment, meeting planning, report writing and preparation of meeting minutes and conference call notes. Maintain spreadsheet to track program activities. • Coordinate various aspects of educational webinars and other educational offerings, including working with subject matter experts (SMEs) and faculty on content and learning objectives; reviewing materials to ensure highest level of professionalism; implementing marketing and promotion initiatives; adding registration information to, providing technical assistance; and coordinating evaluation efforts and continuing education efforts. • Produce and disseminate program materials, including monthly newsletters, writing draft content, securing input from staff and members/experts, editing and revising as requested, and developing and implementing marketing materials and strategies. • Distribute content through various AAP and partner communication channels including newsletters,, AAP News, On Call, Chapter Leader Link, and approved AAP and PEHSU social media.

Qualifications: Candidates should possess the following: • Bachelor’s degree in marketing, communications, health education, or a related field, or an equivalent combination of relevant education and work experience required. • Two to three years’ experience in coordination, development, and implementation of multiple projects required, including coordinating and facilitating meetings, Web site editing/maintenance, and/or working with databases, preferably in a health-related setting or association. • Experience working with grants and state agency programs highly desired. • Excellent organizational, interpersonal, writing, proofreading and communication skills required, as well as proficiency with MS Office and web editing (ie, SharePoint). • Must be self-motivated, detail-oriented and able to complete work with a high level of accuracy.
