Position Description: The American Academy of Pediatrics (AAP), the nation’s leading advocacy organization for children’s health, is in search of an energetic individual to coordinate daily functions related to the development, implementation, and evaluation for the AAP National Conference and Exhibition (NCE). This position will be responsible for providing programmatic and administrative support to the manager of the division. This position will be the first point of contact for NCE conference faculty and other external contacts. This is a fast pace environment that will track and manage conference proposal processes and all conference faculty communications, reports, and budgets.

Some of the job duties include: 1. Coordinate and organize the dissemination, receipt, and processing of all NCE Continuing Medical Education (CME) materials, including session proposal forms, faculty and session confirmations, session/agenda updates, handouts, and other documents/communications. Identify and assist in solving non-compliance issues (ie: ACCME and copyright requirements); and follow up with appropriate individuals. 2. Devise and implement computer tracking and other systems to manage conference proposal submission and confirmation process, program layout, and all conference faculty communication. Provide data sorts, reports, and merges as needed. Implement project plans and continuously evaluate to ensure NCE objectives and timelines are met. 3. Manage the NCE faculty database, update faculty and session data. 4. Serve as initial contact for conference faculty and primary contact with plenary speakers. Serve as first-line response to faculty inquiries and NCE email mailbox inquiries. Serve as liaison to other external contacts and to AAP staff. Initiate, communicate, and coordinate details about travel, registration, hotel, A/V and other items with faculty and planning group members. 5. Generate and distribute standard and customized faculty, planning group, and proposal author correspondence (ie: confirmation, update, and proposal letters, workshop budgeting requests, etc) within established timelines.

Qualifications: Some qualifications include: 1. Bachelors’ degree in adult education, business, or related discipline or an equivalent combination of relevant education and work experience required. 2. One to two years general administrative experience required, including meeting planning, budget tracking, running database reports, maintaining Web sites, and/or drafting communications. 3. Excellent organizational, verbal/written communication, proofreading, interpersonal, diplomacy and problem solving skills essential. 4. Must be able to take initiative, coordinate multiple projects simultaneously, manage a heavy workload, and pay close attention to detail. 5. Proficiency with MS Office required; experience with databases and Adobe Pro strongly preferred. 6. Some travel, weekend and overtime hours required.
