Position Description: The Indiana State Department of Health is currently seeking a Program Coordinator 3. This position is responsible for the administration of all aspects of vaccine ordering; including the processing of bulk and health care provider orders, this is the customer service component of the vaccine distribution system of the Indiana Vaccine for Children Program (VFC). The assurance of timely delivery of vaccines to health care providers is a critical component of the VFC Program. Ensuring VFC providers have an adequate supply of vaccine is essential in fulfilling program goals of increasing immunization rates resulting in the reduction of vaccine preventable diseases.

Responsibilities: • Furnishes and collects information on vaccine supply and communicates directly to the Immunization Program Director on any shortages, or interruptions or delivery service. • Coordinates quantities of vaccine ordered by health care providers for fair distribution of vaccine based on historical provider usage. • Reviews vaccine orders and amends quantity orders based on available inventory • Resolves discrepancies of abnormally high volume orders, contacts the health care provider to discuss issue, and then adjusts vaccine order as necessary. • Prepares and submits routine vaccine bulk order to program director for approval based on available funding. • Communicates with program grant manager on a routine basis to determine the amount of available funds for vaccine purchasing. • Reviews health care provider information and makes necessary corrections/updates in the provider database. • Informs various program staff of provider changes. • Serves a program representative in conducting and initiating vaccine trades and transfer of vaccine between VFC providers. • Prepares various reports to CDC and program staff related to vaccine issues such as inventory, vaccine shortages, backorders, warehouse, delivery, health care providers, and other related issues. • Provides follow-up to vaccine supply questions for VFC providers and program staff. • Coordinates with immunization staff for distribution of available vaccine during periods of vaccine shortage. • Assists in budget preparation and formulation of policy and procedures for vaccine ordering and distribution. • Strives on a daily basis to attain grant objectives for vaccine management. • Answers inquiries over the telephone regarding vaccine delivery and vaccine supply. • Ensures good customer service via the telephone and timely processing of vaccine orders, and timely delivery of vaccine to health care providers. • Attends routine program meetings to report on health care provider issues, ordering issues, supply issues, and issues concerning vaccine delivery. • Encourages VFC provider enrollment. • Performs related tasks as required.

Preferred Experience: Five (5) years’ work experience in program coordination; development; implementation; or accredited college training in a related field. • Extensive knowledge of product ordering through a software system, such as the CDC (Centers for Disease Control and Prevention) VACMAN software system used in the immunization program. • Extensive independent judgment exercised in the distribution of vaccine during periods of low inventory and shortages of vaccine. • Thorough knowledge of managing inventories through limited funds and the handling of purchase requests. • Thorough understanding of the importance for maintaining the integrity of a product, such as expensive vaccine through proper distribution to avoid waste and stockpiling. • Broad knowledge of the different VFC program components and how adequate supply is essential in achieving program goals. • Considerable knowledge of vaccine storage and handling. • Ability to apply advanced computer skills – various applications. • Ability to communicate effectively orally and in writing. • Ability to prioritize workload and meet program and CDC time-frames. • Working knowledge of vaccine preventable diseases.
